Greetings to all 1028 customers (courts and parking customers). Just like years past, 2006 was no exception, it was a busy year for us. We installed more than 60 new Courts, including over 20 conversions from other court software. In addition, as new clerks and judges began working in a court, we were asked to return to train them on the program.

In 2006 we held 17 user group meetings across the State. All the meetings were well attended and everyone learned something new, our staff included. We also attended three large conferences from which we always come back with many useful ideas, tips and strategies.

New Staff at SEi -You may have already spoken to our newest Tech Support Specialist, Lynette Lemcke. Many of you already know Lynette as a former court clerk and member of the NYS Court Clerks Association. We are very happy to have Lyn with us. Please welcome her the next time you talk to her on the phone.

New and upcoming features- Some of you may have noticed that we recently implemented a new instant messaging system into the program. If you have an internet connection, we are able to immediately notify you of any pressing matters or simply to make you aware of a new update to download at your convenience.

Another of our new exciting features is the ability to identify judges cases by color. This is a way to really make the case stand out; you can choose a different color for each judge. This feature can be found by clicking on Utility, Edit Databases, Judges. There is a new option called Set BG Color. There are currently six standard colors to choose from. If you dont wish to use those colors you can setup custom colors as well.

We are currently working on creating a video training guide to cover our most frequently asked questions as well as an overall training for the program. This new feature will soon be available under the Help menu.

As always, we are constantly changing the program to best fit the needs of our courts. We always appreciate and welcome any and all suggestions or requests to implement into the program. With every new update you receive be sure to check the Recent Changes section found under the Help menu.

Users / Passwords- The ability to create or modify a user password to look only is now available. This look only password is for courts who want to give users access to the program but not access to make changes. You can also set password so users can only do specific tasks within the program. Give us a call for help with this feature. .

PREED is here for internet plate searches from DMV. If you are already using PREED, you know how easy and convenient it is. To use this feature in The CourtRoom Program, you must be using our DMV_Call Program. When adding a new VTL case, simply enter the Plate Number (the plate number field only appears on your screen if you have PREED). DMV_CALL automatically connects to and searches the DMV databases and fills the name and address information into The CourtRoom Program. If you use the Parking Program, PREED access eliminates the need for creating an address request disk. You can either search each plate number as you add tickets into the program, or do a batch search after all tickets have been entered. To use this lookup feature, you must request a PREED account number and password from DMV.

E-Tickets- There are many Courts currently downloading E-Tickets. Remember, always download the XML version of your tickets; the advantage to this format is the ability to print both the ticket and the Supporting Deposition. Tickets can be printed in a batch after saving them into the program or individually from the case information screen. In Version 1.06.12C we added a new feature that allows you to reprint a batch of tickets. Both batch print options are found under the Utility menu.

Updates/Backups- Remember to stay current with the program’s updates. We suggest you upload your backup on a weekly basis and update the program at least once a month. Sending backups and receiving updates is easy using our online features listed under Help. We receive your backups immediately, disks dont get damaged in the mail and you can be up to date with current updates. If you do not have internet access or your access is very slow, you may choose to continue mailing us backup disks every month or two and we will return your disk with an update CD. Either way, you should continue doing a local daily backup.

2007 User Group Meetings- at the end of this newsletter is a schedule of all the 2007 User Group meetings. Please try to attend a meeting as we all learn lots about the program both from SEi representatives and from other clerks and judges. As always, this schedule should be shared with all court personnel. Please call the host court to RSVP and get directions.
